Disadvantages of Paper Visitor Registers

Paper feels simple until your team needs quick answers.

A paper visitor register can record names, but it cannot protect visitor privacy, show live status, notify hosts, or prove who has checked out. Those gaps become serious during busy hours, audits, and security reviews.

Visitor privacy is weak

People signing in can often see earlier names, phone numbers, companies, and signatures. Digital records reduce that exposure.

Searching is slow

Finding a visitor from last week means reading old pages. A visitor management system makes records searchable by name, phone, company, date, and host.

Live status is missing

Paper cannot show who is waiting, approved, rejected, in meeting, completed, or overstaying. Reception has to guess or call again.
